Glens Falls Community Theatre  Board of Directors Meeting ~  Thursday, July 9, 2009 ~ Location: Lisa Cornell’s House at 7:00 P.M.

Present: Maggie Herlihy, Catherine Gericke, Mary Corcoran, Jane Gibbs, Kathleen Boyle, Donna Gelder, Deb Gecewicz, Bob Myers, Theo DeHaan, Lisa Cornell, Carol Cornell, Dave Wiles, and Jim Chaffin.

Excused: Jerry Sawn, Bruce O’Connell, Nick Baroudi, Rene Clements, and Heather Palmer.  Theo called the meeting to order at 7:02 P.M.

Minutes: Carol made a motion to accept the minutes, Dave seconded and the motion carried unanimously.

Treasurer’s Report:  Donna presented on behalf of Janet/Jerry.  The following balances were indicated:

Total Assets: $71,937.79   Total Current Assets: $34,053.27  Checking: $6,696.86   Savings: $27,356.41   3 Year CD: $34,040.62 and 2 Year CD: 0.00.  It was also reported that the year “finished out” with a net income of $12,496.30.  Bob made a motion to accept the treasurer’s report as presented, which was seconded by Mary, and carried unanimously. 

President’s Report:  Donna reported that she purchased a new corporate seal, for $69.00 on 7/7/09.  She also reported that we are now official members of the American Association of Community Theatres.  She provided the board with the web address:  www.aact.org/members  (user name: member, password: spike).

She indicated that Bill sent an email on 6/19 regarding the upcoming production of “Rest in Pieces”.  Martin Seelye told him that they would be using some of GFCT’s flats from the barn.  Bill suggested that we charge rental fees and Martin agreed.  Thank you notes were received from the YMCA and the Office for Aging for Baker’s Wife ticket donations. Donna also received a “thank you” from Linnell Truchan, one of our scholarship winners.

Committee Reports:

Active Membership:  164 members, according to Mary.  A congratulation card was sent to Heather Palmer upon the birth of her daughter Sophia, and Mary thanked the board for a sympathy card that she received upon the passing of her sister Angie.

Season Subscribers:  Bob reported that he is working on getting a flyer together and that he will be speaking with Andrew Meader to insure that menu choices and seating charts are correct for the murder mystery.

Community Service:  Lisa reported that she hopes to have a committee meeting in August.  Mary sent a Thank you to the QBY seniors for their donation of $75.00.

etc.  Cory sent an email, which was read at the meeting.  Etc will be taking part in the Third Thursday Art Walk on August 20th.  They will perform “My First Time” at Café Cabaret, at 8 P.M.  Donna asked whether they still intended to present their Degas show.  Theo said that he would follow up with Nick and Rich and fill everyone in at our next meeting.

Promotion: Donna reported that she sent info regarding our upcoming season to Warren County Tourism, Cathy DeDe, and to our very own web-site goddess, Kathleen. She reported that another memory sharing event would be held at the Wood Theater on 9/18.  She would love to have GFCT members of all ages come and share their memories.

Workshop:  No report.

 Barn Custodian: Carol reported that a cleaning was held and that 10 people came.  She would like to schedule another cleaning on Aug 22, when heavier set pieces could be moved.  Maggie reported that Sue and Jerry helped her last Tuesday, moving boxes at 100 Glen St.  Next cleaning is set for 7/18 from 10 – 11:30 a.m.

 LARAC:  No report.

Grants/Patrons/Benefactors:  Donna reported that there would be a workshop for non-profit organizations held on 7/29 from 9 – 12. Although the fee to participate is 50.00, she feels that it is in our best interest to attend.

Scholarship:  No report.  The names of our recipients this year, Tim Doak and Kyle McKenzie were provided again for our minutes.

Old Business

Senior Seminar:  Catherine reported that she is in discussion with Sue Ford and Bill regarding our grant proposal, which is due in September.  A musical that they are considering is “A Bag Full of Miracles”.                

Murder Mystery:  No report.

The Baker’s Wife:  Catherine made a motion that we accept a budget proposal of $33,700 for our fall production, Bob seconded and the motion carried unanimously.  Jim reported that the set designer was thrilled with set pieces available at he barn.  He reported that Maddie (musical director), is already working hard, contacting musicians, and would like to schedule rehearsals as soon as possible.  Jim also indicated that he would provide Kathleen with audition sides and info to be posted on our web site.  Mary asked Jim if he could provide her with info regarding characters and a show synopsis to include in the general meeting mailers.  The general meeting for TBW will be on 9/9/09, with auditions to be held on 9/10.  All agreed that selling this show will be our top priority.

Blithe Spirit: Donna reported that Bill requested and received a copy of the script.

75th Anniversary Planning Committee:  Carol reported that the next meeting would be held on August 9th.

Cemetery Project: Catherine reported that she, Mary Lou and Bill would be directing about 10 actors.  The project will be held on 9/26/09.

Web site: Kathleen reported that she has the first page up, and that she is tweaking a couple of links.

Other: Mary reported that the membership forms this year would contain GFCT’s web address and the actual dates that are included in our upcoming season.

Carol reported that she and Jerry are working on the Job Revision list.

New Board Business:

Catherine suggested that the community service project director be a paid position and discussion ensued.  Jerry, Lisa, and Mary will meet and discuss an appropriate fee.

Minutes: Correction name  of representative for  “Third Thursday” is Liz Wilcox not Donna. Jane G. made a motion that we accept the minutes, Maggie H. seconded and the motion carried unanimously.

 

Treasurer’s Report: Janet Reported  Total current assets: $36,383.81 Checking: $9,045.82  Savings: $27,337.99
And Total Assets: $74,264.08. Senior Seminar we have paid rent & consultant fee, production later in May. P & L for Mother of the Year should be a final with profit of $1,489.81.  Confessions/Dirty Blonde not final yet. A few more expenses to come in .  Dale M. made a motion that we accept the Treasurer’s report, Theo D. seconded and the motion carried unanimously.
 
President’s Report: Donna reported that she gave two tickets to Baker’s Wife to RSVP, Greater Glens Falls Senior Citizens Center, Inc., requested by Rene C. Donna also got a request from Girls on the Run  and YMCA Saratoga for a Golf Tournament and she will be sending two tickets to  each  of them.
Donna said we also got a request to see if we were interested in performing at 1st Night in Saratoga. All agreed, we were not interested.
Don na sent a letter to the Wood Board saying she thought that the ticket sales on l ine helped us to sell tickets to Confession. She suggested that we have a representative at the will call window for our performances. Has not heard back yet.
Donna received a notice from GF Business Journal that they are going green and if we want a copy mailed it will cost $25.00. All agreed not necessary.
Donna received a nice e-mail from Sherm Parker on how much he & his wife enjoyed Confessions, which she forwarded to Cory.
 

Committee Reports:

Active Membership: Mary reported we have 163 active members. Mary mailed one sympathy card to Joyce  Irwin. We received a thank you from Solomon Heights.
Season Subscribers: Bob M. – no report
Community Service: Lisa & Mary reported almost done, 3 more to do.
etc.- Dale M. reported plan to get  together for fall. Rich Joyce has something planned with Hyde Museum as part of Degas Exhibition.
Promotion: Donna sent info to Warren County Tourism for our Cemetary Tour and Baker’s Wife. She also found that we were listed on Thespian Hotel web site, and noted she will keep them informed also.
Workshops:  Jerry Sawn reported that we had 10 people attend the lighting seminar. It was very successful. No other workshop planned at this time.
Barn/100 Glen St.: Carol reported that she would like a barn cleaning which is scheduled for June 20th at 9 a.m. Maggie reported she needs help marking clothes at 100 Glen Street with our GFCT label. For right now she is going to plan  a weekday afternoon, and need be will have one weekend day also.   Some hats have been returned to 100 Glen St. from D. Scoville. Not sure what they are, Maggie will check out.

Grants/Patrons/Benefactors- no report
Scholarship: Cory reported as chair of the committee. We had 8 candidates. There was no one applying to pursue musical instrument degree, so there will be no Stan Gerekie scholarship this year. The committee unanimously  recommended one $1,000 scholarship to Timothy Doak from Quensbury High School. Tim will be pursuing a degree in Music Education . The second scholarship for $1,000 is to Kyle McKenzie,  from North Warren School. Kyle will be pursuing a degree in Tech- Stage Management. Carol C . made a motion that we accept the Scholarship committees recommendations, Dale M. seconded and the motion carried unanimously.

Cory then asked if we could give The Wood Theater a donation of $50.00 for use of the theater stage for two days for the scholarship auditions. Catherine G. made a motion that we pay The Wood  $50., Mary C.. seconded and the motion carried unanimously.

NO other committee reports

Old Business:

Senior Seminar-Cathernie G. reported they are off and running with 14 participants. Fun. Not much time to put together after various seminars . Should be great. Performances are May 20th at 2 pm and May 21st at 7 pm. Has lots of great help.

Murder Mystery 2010- Bob M. – no report

Confessions of a Dirty Blonde- Cory reported a rousing success. Rene reported it was a fantastic group and an honor to be a part of.

Play  Director Selection Committee 2009/10-Blythe Spirit There has been no recent information from Nick B., Bob indicate d he would call him and let him know that Bill Woodward is  very interested in Directing and if he has no one3 else that they can poll the board for approval.

75th Anniversary Committee- Carol reported that there will be meeting June 7th. Mary stated that she has20been in contact with GF High School and said we needed to fill out an application, which was not enclosed. Mary stated  she will 

Call Tom McGowan and get it. We plan on rehearsing at the Wood Theater and then performing at the GF High School.  We are looking at rehearsing for the last week at the High School.

The Baker’s Wife- Donna reported that she has two co-producers- Carol Cornell and Lynn Powell. Donna also listed a number of other chair positions have been filled.

Nominating Committee- Sue reported all in the mail. Bob noted what a great group of nominees .

Other Old Business- none

New Business

Community Service- Mary C. commented on all the work that the Musical Director (Lisa Cornell) for this group and feels that there should be some financial compensation for it. Lisa thanked Mary for her comments but said it is community service  and she is fine with it. Much discussion. Bob noted that we cannot go retroactive but could discuss for future ventures. All agreed.

Janet R. read an e-mail from Jerry McKenna asking if there were an restrictions for members receiving minutes? Everyo ne agreed that there is no problem with this. The board went back & forth on best way to disclose these. It was recommended that we put them on our website and let our membership know. Any other way would be very time consuming for secretary and as it passes from one sec to another things could be missed. A standard of having it on our web resolves this issue. We will need to let Kathleen Boyle know. They can be posted after they have been approved by the board. All were in favor of trying this. Also mentioned that any member can attend any board meeting.

Can put on Old Business next month.
Next meeting is June 11 at Carol Cornell’s house. Everyone bring food. The Wood  $5 We will welcome new board members & thank ou tgoing members. . Sue D. made a motion that adjourn Dale M. seconded and the motion carried unanimously. Meeting over 8:10

Excused: Maggie Herlihy, Jerry Sawn, Mary Corcoran, and Janet Ross. Bob called the meeting to order at 5:32 P.M.

 

Minutes: Corrections: Proposed cost of tickets for the 75th Anniversary Gala $40.00 + $20.00 fee for party at the Queensbury Hotel to follow. Sue made the motion that we accept the minutes, Jane seconded and the motion carried unanimously.

 

Treasurer’s Report:  Rene reported the following balances:

Total Assets: $74,913.36   Total Current Assets: $37,033.09  Checking: $2,716.90   Savings: $34,316.19   3 Year CD: $34,036.37 and 2 Year CD: 0.00.  Rene also reported that John Miller’s transcript has not been received, as of yet, so his scholarship check cannot be issued. Catherine made a motion to accept the treasurer’s report as presented, which was seconded by Heather, and carried unanimously.

 

President’s Report:  Donna reported that she received a note from Donna Wilcox regarding  “Third Thursday”.  She wanted GFCT to know that the LARAC “plaza” is available for performances.  GFCT will consider using the plaza for promoting The Baker’s Wife.

 

Committee Reports:

Active Membership:  Mary sent a report. There are currently 154 active members.  A sympathy card was sent to the family of Marj Januszkiewicz.  In addition, a “thank you” was sent to Deb Wescott for costume donations.

 

Season Subscribers:  No report.

 

Community Service:  Lisa reported that group is doing well and that there are still 7 or 8 more performances this year.
 

etc.  Dale reported that Rich is back in town and that the group is planning a meeting.  Rene and Jane attended the original A.C.C. student reading of “I Forgot” and thought that it was really good.

 

Promotion: Donna reported that Post Star carried the announcement for the memory sharing event in yesterday’s paper and that the Chronicle also promises an article.  She also indicated that A.J. Johnson would be helping Pete videotape.


Workshop:
 It was reported that 8 people have signed up for the lighting workshop.  In addition Jerry has contacted Pat Pawliczak regarding a future costume workshop.

 

Barn Custodian: Carol reported that the barn is due for a cleaning.  Proposed date: 6/20 from 9 – 12 noon.

 LARAC No report.

Grants/Patrons/Benefactors No report.

Scholarship  Auditions will be held on 5/13 and 5/14.  Debbie reported that she emailed Cory’s announcement to local papers.

Old Business

Senior Seminar:  Catherine reported that there are 14 participants. The seniors are writing the show and they are working very hard.  It will be a musical murder mystery.  Performances will be held on 5/20 and 5/21st.

                                       

Murder Mystery:  Only remaining business are a couple of outstanding bills.

Confessions of a Dirty Blonde:  Rene reported that the show is really funny.  Splitting the production manager position in three ways has worked out very well.  In addition 212 tickets have been sold so far.

Play Director Selection Committee 2009/2010: Nick reported that he has made several calls, but that no one has stepped up to direct as of yet.  The committee is pooling resources and will plan a meeting in the future.

75th Anniversary Planning Committee:  Carol reported that the next meting would be held on 4/19.

 The Baker’s Wife:  Donna will be one of the production managers for TBW.

Nominating Committee

Sue reported that a meeting was held and nominations were made.  All GFCT officers will remain the same, except for the treasurer position, which Jerry Sawn graciously agreed to take on.

 

New Business

The banquet will be held on Friday June 5th, at the Queensbury Hotel this year.  A $2.00 discount will be available for all active members.

Dale made a motion that we accept the proposed ticket prices for our 2009-2010 season, Theo seconded and the motion carried unanimously.

An email was received from Bill Woodward.  He asked if GFCT could donate $300.00 to cover the golf cart rental for the cemetery project this upcoming fall.  Carol made a motion that we donate $300.00 for the rental, Jane seconded and the motion carried unanimously.

 

Date and Time of Next Meeting:  May 14th at the Wood Theater at 7:00 P.M.  Theo made a motion to adjourn and Sue seconded.  The motion was carried unanimously.
